Why is Biodata Important?

Your biodata is the foundation of your membership. It is used to:

  • arrow_right Verify your identity as a registered member
  • arrow_right Register your dependants (spouse, children, parents, siblings) who are eligible for welfare support
  • arrow_right Enable support requests — condolence claims require a registered dependant from your biodata
  • arrow_right Keep emergency contacts on file for the association

Biodata Sections

Complete all sections of the biodata form:

1 Personal Info — First, middle & last name, ID, DOB, gender
2 Contact & Current Residence — Phones & where you live now
3 Origin — Where you come from
4 Employment — Employer, job title
5 Next of Kin — Emergency contacts
6 Dependants — Family members
7 Declaration — Consent & submit

Contact & Current Residence

This section captures your phone numbers and where you currently live — which may be different from where you come from (your origin).

Phone Numbers: You can add up to 4 numbers — Primary Phone (required), Second Phone, Third Phone, and WhatsApp. Enter numbers without the country code.

Current Address: Select your current country of residence first. The address fields change automatically based on the country:
Kenya: County → Sub-county → Location → Sub-location → Village Uganda: District → County → Sub-county → Parish → Village Tanzania: Region → District → Ward → Village/Street Other: Region/State → City/Town

Example: A Kenyan working in Uganda would set Current Country = Uganda, fill in Uganda address fields here, and then record their Kenyan origin in the Origin section.

Industry/Sector Selection

In the Personal Info and Employment sections, you'll select your industry/sector from a predefined list:

• Manufacturing
• Agriculture
• Government / Public Sector
• Non-Profit / NGO
• Media & Entertainment
• Telecommunications
• Logistics & Transportation
• Energy & Utilities
• Real Estate & Construction

Why is this important? Your industry/sector helps the association group members for networking, targeted communications, and industry-specific events.

Class Year & Graduation Year

For alumni associations, you'll also enter:

  • Class Year — Your class or cohort (e.g., "Class 2015", "Cohort A")
  • Graduation Year — The year you graduated (e.g., 2015, 2016)

This enables the association to create class-based groups and organize reunions.

Registering Dependants

Dependants are family members eligible for welfare support under the association's constitution. You can register:

  • Spouse — Husband or wife
  • Biological Children — Your natural-born children
  • Legally Adopted Children — Select "Child" and specify "Legally Adopted" in the detail field
  • Parents — Father and mother
  • Siblings — Brothers and sisters
  • Parents-in-Law — Father-in-law and mother-in-law

Click "Add Dependant" to add each family member. There is no limit to how many you can register.

Submitting & Locking

Once you submit your biodata:

  • • Your biodata is locked and sent to admin for review
  • • Admin can approve, reject, or request revisions
  • • If you need to make changes after submission, request an unlock from admin
  • • You can save a draft at any time and come back later — your progress is auto-saved

Important: You must complete your biodata and register dependants before you can file a condolence support request. The system requires selecting a registered dependant for condolence claims.
